Watershed Watch Salmon Society is a respected and influential non-profit organization that promotes wild salmon and watershed conservation throughout British Columbia. For over 23 years we have been boosting habitat protection and restoration, sustainability in salmon fisheries, reform of BC’s salmon aquaculture industry, and the implementation of the laws and policies that protect wild fish and the waters they swim in. We are a federally registered charity with a strong legacy as a science-based watchdog organization, working with diverse allies and engaging the public to protect wild salmon and watersheds in BC. We have offices in Vancouver and Victoria, and an engaged base of supporters across the province.
Our Operations Director will support and guide our small team in all aspects of organizational operations, financial planning, and fundraising, working closely with our Executive Director, Financial Manager and Communications Manager.
Qualifications
We are looking for someone who:
- Wants to make a positive difference for B.C.’s wild salmon and watersheds, and the ecosystems and communities they support;
- Has proven experience as a non-profit administrator, with strong knowledge of grant management, budget development and tracking, finance, accounting and human resources management;
- A strategic, rational thinker and creative problem-solver who is self-motivated, organized, adaptable and detail-oriented, with excellent time and project management skills.
- Has excellent oral and written communication skills;
- Is comfortable and adept in a leadership role;
- Has experience working with a wide range of donors from individuals to larger foundations and is able to build and maintain relationships;
- Is familiar with provincial and federal regulations relating to societies and charities;
- Knows, or can quickly learn how to use the following digital tools: Google Drive and Docs, Keela (CRM and donation tracking), Nationbuilder, Asana (project and task management), Quickbooks, MS Excel, MS Word. Experience with WordPress, social media, and other communications tools would be assets;
- Is comfortable working with a team that is spread throughout the lower mainland and Victoria;
Responsibilities
- Act as the core administrative executive for our effective team of conservation advocates, overseeing budgeting, operations and financial management;
- Lead grant development, tracking and reporting and work with our Financial Manager to keep staff up to date on project revenue and expenses, coordinating staff efforts to proactively address funding gaps and opportunities;
- Work with our Executive Director and other staff to ensure work plans and activities align with our goals, strategic plans, budgets, and grant deliverables and timelines;
- Coordinate financial and activity reporting to our Board of Directors and external reporting (e.g. lobbying, CRA annual reports, etc.);
- Work with our Communications Manager and/or Engagement Manager to manage our Contact Relationship Management system and ensure donor and donation data are up to date and oversee issuing of tax receipts;
- Assist with developing and executing our fundraising plan, including donor relations;
- Supervision or assistance with other administrative tasks, including staff expense management, banking, mail collection and payroll administration.
- Assist our Executive Director in human resources management, including hiring, generating and tracking contracts for staff and external contractors, and reviewing staff performance, and ensure all staff are well versed in operating policies and practices;
- Attend occasional field trips, retreats, conferences and work-related social events to enhance your connection with colleagues, allies and the wild salmon ecosystems that we defend;
- Coordinate with external partners as needed for the administration of collaborative projects.

Emergency Planning Secretariat Project Coordinator
BACKGROUND: The EMERGENCY PLANNING SECRETARIAT is an emerging body in the Lower Mainland hoping to improve Mainland Coast Salish emergency preparedness and adaptation to climate change. Our main tool for achieving this is our Regional Action Plan, or Hilekw Sq’sq’o, which localizes the Sendai Framework for the 31 Mainland Coast Salish First Nations.
POSITION SUMMARY: The PROJECT COORDINATOR is responsible for the coordination, planning, and support of the Regional Action Plan coordination and the coordination of the E4JClimate Project with the EPS and Watershed Watch Salmon Society.
COMPENSATION: Starting salary at $55,000 – $65,000 depending on experience.
Job Description
1. Coordinate engagement and development of the Sendai Regional Action Plan.
- Coordinating Working Group and Advisory Committee Meetings;
- Engage communities through 4 regional workshops and local workshops/meetings Assessment of priority areas of risk for risk reduction in the B.C.’s Lower Mainland based on Mainland Coast Salish values and traditional ecological knowledge;
- Coordinate presentation and communication materials;
- Manage iterations and feedback of the Regional Action Plan from the above engagement sessions; and
- Provide input into Disaster Resilience Planning and community capacity enhancement.
2. Project Manage the EJ4 Climate Project.
- Coordinate regular project team meetings;
- Coordinate 3 workshops to define risk and risk reduction next steps;
- Coordinate a Best Management Practices report with defined flood risks, solutions and a list of priority flood mitigation and restoration projects;
- Work with project partners for continued engagement on report outcomes; and
- Educate public audiences about opportunities and solutions to address diverse values in modernized floodplain management.
3. Support Mainland Coast Salish First Nations as needed, and during emergencies.
4. Assist with communications and reporting for EPS and Watershed Watch.
5. Maintain respectful and effective relationships with each of the 31 Mainland Coast Salish First Nations and external partners.
REPORTS TO: EPS Program Manager
EDUCATION AND EXPERIENCE:
- Preference may be given to a candidate with formal education or training in a relevant field, such as business administration, project management, engagement, flood management, natural resource management, or Indigenous studies, or five years experience in the field;
- The ability to work in a team environment and independently;
- Experience conducting engagement within Indigenous communities including planning, organizing, and holding workshops and/or conferences;
- Experience with community engagement and outreach;
- The willingness to set up and disassemble meeting venues;
- An adaptable attitude to handle variable schedules, demanding schedules during emergencies, politically charged environments, and needs of different partners; and
- Intermediate/advanced computer and typing skills (MS Office Suite, Google Drive and Dropbox).
SKILLS AND COMPETENCIES
- Knowledge of B.C. First Nations perspectives and communication styles/preferences; Knowledge of political and social impacts that affect BC First Nations;
- Experience building and maintaining respectful relationships with First Nations, colleagues, external agencies and their representatives;
- Experience with project management, reporting and report writing;
- Familiarity with online calendar and task management systems; and
- Excellent organizational and time management skills.
OTHER REQUIREMENTS
- Must be willing to submit to a criminal record check and be in compliance with federal vaccination regulations;
- Must have a valid driver’s license and access to a reliable vehicle;
- Must be flexible to work from home, in office and some travel to communities; and
- A laptop will be provided, and travel will be compensated.
CONFIDENTIALITY: The Emergency Programs Coordinator is expected to be familiar and comply with the expectations of confidentiality as outlined in the Sumas First Nation Policy and Procedures Manual and relevant Acts and Legislation on Communications and Information Management.
PERFORMANCE CRITERIA: This position is subject to a 3-month probationary period and review, and is subject to funding availability. Completed tasks relative to any or all of the above duties and responsibilities will be measured in terms of:
